Metadata Cleaner for Microsoft 365

Privacy Policy

Effective and last updated: October 15, 2026

This Privacy Policy explains how Myworkingmemory LLC (“Company,” “we,” “us,” or “our”) handles information in connection with Metadata Cleaner for Microsoft 365, meaning the Metadata Cleaner for Word add-in, the Metadata Cleaner for Outlook add-in, the related license service, our support, and the policy pages that link here (collectively, the “Services”). The separate Apple app, Metadata Cleaner: Word & PDF, has its own Privacy Policy.

Plain-language summary

1. Scope and product facts

The add-ins run inside Microsoft Word and Microsoft Outlook on Windows, Mac, and the web where Microsoft supports them. The Word add-in scans the open document and opens a cleaned copy in a new window. The Outlook add-in replaces the Word .docx and PDF attachments on a message you are composing with cleaned copies. Either add-in can also clean files you choose from your computer and offer the cleaned copies for download. Cleaning runs in the add-in’s task pane on your device. The Services are not a redaction, legal-review, forensic, records-management, or evidence-preservation service.

2. Information we handle

Documents and local records

You choose the document, message, or files to process. The add-in reads the document or attachment inside Office, creates a separate cleaned copy, and does not modify the original file on your computer. Working data stays in the task pane’s memory for the session and is discarded when the pane closes. The add-in stores locally, in Office’s add-in storage on your device, only the first-use date for the free trial, your license key if you enter one, and the cached license status. We do not receive these files, findings, or records unless you deliberately send them to us.

License verification

If you enter a license key, the add-in sends the key string and the product name to our license service, hosted on Vercel in the United States. The service confirms the subscription status with Microsoft’s commercial marketplace, or with the payment processor named at checkout, and returns the plan, seat count, and renewal date. The add-in repeats this check about once a day and allows seven days of offline use. Network providers and our hosting provider may process your IP address transiently to deliver the request; we do not store it in a customer record. The add-ins send no product analytics, crash reports, or usage events to us.

Microsoft and Office

Microsoft independently distributes the add-ins through AppSource and may collect add-in installation, usage, diagnostic, and telemetry information under Microsoft’s policies, which we do not control. When you buy a subscription through Microsoft, Microsoft processes payment credentials, billing, tax, fraud, purchase history, refunds, and account information under Microsoft’s policies. After purchase, Microsoft sends your browser to our landing page with a purchase token; we exchange that token with Microsoft to confirm the subscription and show you a license key. We receive the subscription identifier, plan, quantity, and, where Microsoft provides it, the purchaser’s name and email for the purchase record. We do not receive your full payment-card number.

Support

If you email us, we receive your email address, message, and anything you attach. Please do not send sensitive documents. Remove confidential information from screenshots unless it is necessary for support.

3. How we use information

We use the limited information described above to operate purchased features, confirm and restore access, maintain security and reliability, improve the Services, answer support requests, comply with law, and establish or defend legal claims. We do not use document contents for analytics, advertising, artificial-intelligence training, or product development because the add-ins do not send them to us.

4. Disclosure and service providers

We disclose only what is reasonably necessary: license checks and purchase activation to Microsoft (or the payment processor named at checkout); hosting and delivery of the license service to Vercel; information to legal or safety recipients when reasonably necessary to comply with valid process, protect rights or safety, investigate abuse, or establish or defend claims; and information in a financing, reorganization, merger, acquisition, or sale subject to appropriate protections. If you save a cleaned copy to OneDrive, SharePoint, a file provider, email, or another destination, that destination is controlled by you or an independent provider and follows its own privacy terms.

5. Sale, targeted advertising, and tracking

We do not sell personal information, use targeted advertising, share information for cross-context behavioral advertising, or track you across other companies’ apps or websites. The add-ins contain no advertising or tracking code.

6. Retention

7. Security

We use reasonable safeguards proportionate to the limited information we handle, including on-device processing, HTTPS for the license service, signed license keys that contain no personal information, separate output files, and no document storage. No storage or transmission method is completely secure. Keep independent backups and review each cleaned copy before sharing it.

8. Your choices and privacy rights

You choose whether to scan, clean, save, or share a file and where cleaned copies are stored. You may remove the add-in at any time; removing it does not cancel a subscription purchased through Microsoft. Depending on your location and applicable law, you may request access, correction, deletion, or a copy of covered personal information, object to or restrict certain processing, or appeal a denied request. We do not discriminate for exercising applicable rights. Email dean@myworkingmemory.ai. We may need to verify the request.

We do not sell personal information or use targeted advertising, so there is no sale or targeted-advertising opt-out to exercise. Authorized agents may submit requests where applicable law permits. We will explain any lawful denial and available appeal process.

9. Children

The Services are general-audience business tools and are not directed to children under 13. We do not knowingly collect document contents or personal information from a child under 13. If you believe a child supplied personal information through support, contact us so we can evaluate and delete it as required.

10. International users

Our license service, hosting provider, Microsoft, and support systems may process limited information in the United States or other locations where providers operate. Those locations may have different data-protection laws. Where required, we use lawful transfer and contractual safeguards appropriate to the information and provider relationship.

11. Changes

We may update this Policy when the product, providers, law, or practices change. We will change the date above and provide any notice or renewed acknowledgement required by law.
