Private Voice Notes Privacy Policy

1. Local-First Summary

Private Voice Notes is designed as a local-first app.

• No account required.
• No subscription.
• No company cloud sync.
• No company cloud recording library.
• No ads.
• No tracking.
• Recordings are stored locally on your device.
• Transcription is on-device only when supported.

2. No Collection of Recordings

We do not collect, receive, listen to, review, sell, share, or upload your recordings.

We cannot access recordings stored on your device.

3. No Collection of Notes, Folders, Titles, Transcripts, or Searches

We do not collect folder names, recording titles, notes, transcripts, search queries, private folder contents, or other in-app content stored locally on your device.

4. On-Device Transcription Only

Transcription is optional and user-triggered.

Private Voice Notes configures Apple Speech Recognition for on-device recognition only. On-device transcription runs only when supported by your device, language, locale, operating system version, and Apple system capabilities.

If on-device transcription is not available, the App does not send audio to company servers for transcription. The App may display that on-device transcription is unavailable.

Audio is not uploaded by this App for transcription.

Transcripts created by the App are stored locally on your device unless you choose to export or share them.

5. Apple and System Services Caveat

The App relies on Apple device frameworks, iOS, microphone access, speech recognition capabilities, local authentication, App Store distribution, device storage, and other system-level functionality.

Apple’s operating system, device settings, App Store, iCloud, diagnostics, and backup behavior are governed by Apple and your Apple settings, not by us.

6. Permissions

Microphone permission is used to record audio when you choose to record.

Speech Recognition permission is used for optional on-device transcription when supported.

Face ID, Touch ID, passcode, or local authentication is used to open private folders if you enable private folders.

We do not collect biometric data. Authentication is handled by Apple and device-level systems.

7. App Data Stored Locally

Recordings, folder names, recording titles, notes, transcripts, private folder settings, and app settings are stored locally on your device in the App’s storage.

You are responsible for managing, exporting, backing up, and deleting local content.

8. Apple Backup Caveat

Depending on your device settings, Apple system behavior, iCloud settings, and backup settings, app data may be included in iCloud or device backups controlled by Apple or by you.

We do not control Apple backups, Apple ID settings, iCloud behavior, operating system storage behavior, or your backup choices.

9. Export and Sharing

If you export or share audio, notes, transcripts, or other content, the destination you choose may receive that content.

After export or sharing, the content is governed by the destination app, service, device, person, or platform. We are not responsible for your export or sharing choices.

10. Support Emails

If you contact support, we may receive your email address, message contents, attachments, screenshots, diagnostics, or other information you choose to send.

We use support information to respond, troubleshoot, maintain records, protect our rights, and improve the App.

Do not send recordings, transcripts, notes, screenshots, or other sensitive content unless you decide it is necessary. If you choose to send content to support, you are responsible for removing anything sensitive first.

11. Apple App Store Analytics and Diagnostics

We may receive app performance, crash, diagnostic, and App Store analytics information from Apple through App Store Connect or Apple developer tools, depending on your Apple settings and Apple’s systems.

This information is provided by Apple and is not used by us to access your recordings, notes, folders, titles, transcripts, or searches.

12. No Sale, No Ads, No Tracking

We do not sell your data.

We do not use recordings, notes, transcripts, folder data, or titles for advertising or tracking.

The App does not include third-party advertising trackers.

13. Children

The App is not directed to children under 13. We do not knowingly collect personal information from children.

If a parent or guardian believes a child sent support information to us, they may contact us at dean@myworkingmemory.ai.

14. Data Retention

Local app data remains on your device until you delete it, delete the App, export it, or Apple/device settings affect it.

Support emails and information you send to us may be retained as needed for support, legal, security, and business record purposes.

15. Data Rights

Because we do not collect in-app recordings, notes, transcripts, folders, titles, or search queries, we generally cannot access, export, delete, or correct that local content for you.

16. Security

The App is designed to reduce company-side data risk by keeping recordings local.

No system is guaranteed perfectly secure. You are responsible for device security, passcode strength, Apple ID security, backups, and export destinations.

Anyone with access to your unlocked device, device passcode, Apple ID, backups, or exported files may be able to access content outside the Company’s control.

17. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. The updated effective date will be shown above.

If our privacy practices materially change, we will update App Store privacy disclosures and provide appropriate notice where required.
